This privacy policy contains an explanation of how we process the personal data we gather from you when you use our websites, apps, platforms and services – collectively referred to as our “Dictionary Services”.
The following Dictionary Services are subject to this privacy policy:
All other Ordbogen products, e.g. Write Assistant, apps, etc.
The user groups are: business, private and institutional users.
The legal affiliation of the Dictionary Services is: Ordbogen A/S, Educas ApS and Lemma ApS. All registered to the address: Billedskærervej, 5230 Odense M, Denmark.
The legal entities are collectively referred to as the “Dictionary Group”.
We gather your personal information when you sign up and/or use the services.
On sign-up, you will be asked to state various personal information necessary for us to set up your account and offer you our services. The amount of information will vary depending on the service – but we only ask for the information necessary to use that specific service for its specific purpose.
If you have signed up through the Unilogin system, we gather the information necessary for the use of our services, which will only happen by express agreement (“Dataaftale”, Data Processing Agreement) with the institution you are associated with.
When you use our services, or if you have previously been signed up for the services, we gather and process personal data on your use of such services to improve your overall experience.
The information that you provide us with can be used to identify you personally, e.g. name, job title, email address, school, school class, telephone number and Unilogin. Your personal details are processed for the following purposes:
This entails tracking your actions (repeated visits to websites, interactions, keywords, production of online content, etc.) when you open and use our services, and establishing profiles over time. It also entails information about the devices and methods you use to interact with Dictionary Services and content.
We combine information about your behaviour with your personal information. If your personal information is not necessary for achieving the purposes stated in this section, we only process information about behaviour collectively
We gather information about your operating system and your Internet browser when you visit or use our services, including information logged automatically when you use the services (e.g. mandatory information, time stamp, IP address). If required by prevailing statutory law, we will obtain your consent prior to storage or caching (temporary storage) of or access to data on your device after providing you with clear and comprehensive information about the purposes of processing your personal data.
We process information about your behaviour, your devices and your interactions for the following purposes:
When you are given an assignment, your teacher has decided what the content should be. In certain cases, others besides your teacher may have access to your text. In such cases, Ordbogen A/S always has a legitimate interest, and access will be limited and controlled in accordance with the specific purpose.
Uploading files to Tekstretter
There are several ways in which you as a user can upload your text to Tekstretter. You can upload from your own device or via the integrations with Google Drive and OneDrive.
Ordbogen does not use the texts or their metadata when using the integration.
Tekstretter's models do not look at the content of your assignment, but solely at the language. Suggested corrections are based on the use of artificial intelligence via the language models that Ordbogen A/S is continuously working to improve. Uploaded assignments are stored in the system for as long as your teacher finds it necessary, up to but not exceeding three years.
In connection with improving and correcting errors in the language models, the uploaded texts can help us via supervised learning.
The texts are not used for other purposes, such as the training of generic AI/ML models, neither those that users upload from their own devices nor via the integrations.
Several other websites allow the use of abc.ordbogen.com and ordbogen.com's search options as an integrated solution.
With some providers, you as a user are associated with a fictitious account with limited access to the platform.
If you already have an active license, you will be associated with this upon login. We only use your username to validate your user type.
However, we log your PC-Ident in order to identify your license type.
For certain Dictionary Services you can specify your personal preferences in connection with, e.g., receiving marketing communication.
We do not gather any location data when you use our products. If you do not select your country in your settings, we will estimate it based on your IP address, which is available to us when you communicate with us.

We do not process or save your bank or credit/debit card information used in connection with the purchase of products and services via Dictionary Services. Payment for services is carried out through payment platforms from third parties. Your bank information will not be saved with the Ordbogen Group but the information is retrieved from third parties, e.g. when you renew your subscription or buy add-on products.

As the data controller, the Ordbogen Group determines the purpose and methods of processing the personal data gathered from you.
The personal data that is processed when you use our services is not transferred to other people or companies without your prior express consent. However, suppliers that we have a business relation with about supplying services, including the companies of the Ordbogen Group, have access to and may process your personal information, but solely on behalf of the Ordbogen Group and only to supply services to the Ordbogen Group in connection with the purposes stated in this privacy policy.
Your personal data is transferred by and between Ordbogen and the remaining companies in the Ordbogen Group with the same purposes as stated in this privacy policy.
The Ordbogen Group is committed to protecting your personal information. Your personal information is stored on safe servers and is not processed for any other purposes than those stated in this privacy policy. The servers that Ordbogen Group uses to store the information on are only accessible to authorised employees, and the Ordbogen Group guarantees that all necessary precautions have been taken.
Also, please refer to the section “Unilogin” regarding the personal information that is registered and handled via Unilogin as a link between the institutions and the Ordbogen Group.
Our services are also available to persons under the legal age. There is no age check when selling Dictionary Services.
Ordbogen is registered with Unilogin which is a digital ID for children, young people and employees at institu-tions that provide access to national services and a wide range of teaching services and online teaching materials – including access to Ordbogen, ABC-ordbogen, Educas and Grammatip.
The information which is processed in the Unilogin system is solely personal information of a general nature: i.e. identification information about, e.g., name, address, telephone numbers, email, educational institution information (e.g. school, department, year) about pupils and contacts (e.g. parents or legal guardians) as well as about employees at the institutions.
No sensitive personal data is processed in the Unilogin system.
Data agreements have been made regarding the exchange of personal data between the individual institution, the Ordbogen Group, and the government agency responsible for Unilogin.
In the aforementioned constellation, the Ordbogen Group is considered to be the data processor, and the municipalities/schools to be the data controller. Therefore the Ordbogen Group acts according to instructions and within the framework agreed between the municipalities through a data processing agreement.
Unilogin is maintained and developed by the National Agency for IT and Learning (Styrelsen for It og Læring). For further information about Unilogin, please refer to the website https://www.stil.dk/administration-og-infrastruktur/unilogin (in Danish).
We work with various providers (e.g., WAYF, Google, Microsoft) to offer SSO for the Dictionary Services. This enables users of our platforms to log in to our products through the provider's login. In connection with this, Ordbogen A/S receives data from the provider, but does not use or log any of the personal information made available. We solely use the information that identifies who the customer is to ensure the user the necessary access to the Dictionary Services.

If you have given your consent when you logged onto our services, or later on, Ordbogen has the right to use your personal information for marketing purposes and to inform you about other products and services that Ordbogen has reason to believe might be of interest to you.
You have the right to edit, update or delete your data as well as other rights under the The EU General Data Protection Regulation.
To delete your data you must contact the support service of the Ordbogen Group who can help you with all questions concerning your data. Please note that when your data has been deleted, it cannot be restored, and all data and all contents saved on the services will also be deleted permanently. We also delete your personal data when it is no longer needed for the purpose for which it was originally gathered.
The Ordbogen Group locks your personal information if required to do so under current legislation and in relation to relevant time limitation laws even if you request to have it deleted. This is normally no more than 5 years in most jurisdictions. The Ordbogen Group will not delete your personal data if it refers to an active relation or a product or service which you have specifically requested, e.g. a purchase made through a Dictionary Service.
The enforcement of your rights in relation to personal information associated with your Unilogin can be carried out by contacting the National Agency for IT and Learning (Styrelsen for It og Læring).
You guarantee the truthfulness of the information you provide in our services. All personal data sent to the Ordbogen Group by you must be truthful, exact and updated. You have the full responsibility for your information being exact and updated and in accordance with this principle.
By signing up for our services, creating an Ordbogen account, you hereby give Ordbogen and others in the Ordbogen Group authorisation to use such data for the purposes described during registration and in this privacy policy. You expressly accept that your personal information in the terms stated in this privacy policy and as stated in the section “How we share your information” is truthful, exact and updated.
We will update this privacy policy from time to time to ensure that you are always informed about the activities of the Ordbogen Group relating to data processing. We do not engage in any kind of data processing that might endanger your personal information, and we will obtain your explicit consent if necessary to protect your right to privacy. We will keep you updated on any changes to this policy through our services. We will also use the methods of communication you have allowed us to use to contact you in relation to important changes to this privacy policy. If you continue to use our services after having been informed clearly about the updated privacy policy, you will be bound by the updated terms.
The Ordbogen Group uses third-party providers solely in connection with recruitment, sales and marketing.
If you wish to apply for an advertised position or send us an unsolicited application, please send your motivated application and CV via HR-ON to the Ordbogen careers page. Before sending your application, you must consent to our processing of the general personal information provided in your application and CV, such as name, age, previous occupation, etc., and storing of the information for 6 months from receipt, after which it will be deleted. We do not wish to receive sensitive personal information as it is not relevant to the recruitment process.
When purchasing a subscription from Ordbogen A/S, payment is made via the payment solution QuickPay, which stores the payment card information. Payment is made via a Nets-approved and PCI-certified payment solution. The QuickPay payment solution uses SSL encryption in communication with Nets. SSL encryption is also used in the communication between you and the server where QuickPay is located. This means that all information sent over the Internet is encrypted with a security certificate so that it is not possible for unauthorised persons to intercept information about your payment card.
Ordbogen A/S uses both in-house and external systems for sending out newsletters and campaigns. Some of these are managed via Ubivox. To receive this kind of communication, you must give us your separate and explicit consent for that purpose. Your consent is valid for as long as you actively interact with what we have sent you. You can withdraw your consent at any time.
Ordbogen A/S uses Typeform for questionnaires and feedback from our customers. Data collected via Typeform is processed by several foreign sub-processors. In our setup, we ensure that no other personal data is processed than the service data that is included when visiting the survey on Typeform's platform. In that context, Ordbogen A/S acts as an independent data controller.
We may use Typeform for feedback, where it may be possible to provide contact information. In that case, we will inform you specifically about what is being processed, why and for how long. Feedback is processed according to our internal procedures.
HubSpot
The purpose of the system is to keep track of stakeholders, the sales flow, tasks related to this, and to create statistics based on this.
Data comes from extracts of publicly available contact information at schools via the various constituent states in Germany and directly from stakeholders at trade fairs/congresses.
Data processed in HubSpot is stored for up to 60 months for accounting requirements.
